This policy explains how Se7en Video Productions Ltd handles personal data collected through our website, and how we use cookies. It does not cover footage or recordings made during video productions, which are handled separately.

2. What personal data we collect

We only collect personal data you give us directly through the website. This is:

• Name
• Email address
• Company
• Phone number
• Any information you include in your message

We collect this when you:

• Submit an enquiry or contact form
• Sign up to our newsletter

We do not knowingly collect data from children, and we do not collect special category data through the website.

3. How we use your data and our lawful basis

Where we rely on legitimate interests, we’ve considered your rights and interests and don’t believe our use of your data overrides them. You can object at any time (see Section 7).

Where we rely on consent (the newsletter), you can withdraw it at any time using the unsubscribe link in any email, or by emailing us. Withdrawing consent doesn’t affect anything we did before you withdrew it.

4. Marketing

We’ll only send you marketing emails if you’ve signed up, or where we’re otherwise permitted to. Every marketing email includes an unsubscribe link. You can opt out at any time and we’ll stop.

5. Who we share your data with

We don’t sell your data. We share it only with the service providers that help us run the website and our business. These act as our processors and only use your data on our instructions:

• HubSpot — our CRM, website forms, and email marketing platform
• Google (Google Analytics) — website analytics
• Vimeo — video hosting and embedded video playback

We may also disclose data where we’re legally required to (for example, to a regulator or law enforcement).

6. International transfers

Some of our providers (including HubSpot, Google, and Vimeo) are based in or process data in the United States. Where your data is transferred outside the UK, we rely on appropriate safeguards, which may include:

• The UK Extension to the EU–US Data Privacy Framework, where the provider is certified, and/or
• The UK International Data Transfer Agreement (IDTA), or the UK Addendum to the EU Standard Contractual Clauses.

7. Your rights

Under UK data protection law you have the right to:

• Access the personal data we hold about you
• Rectify data that’s inaccurate or incomplete
• Erase your data (“right to be forgotten”) in certain circumstances
• Restrict how we use your data in certain circumstances
• Object to processing based on legitimate interests, and to direct marketing at any time
• Data portability — receive your data in a portable format in certain circumstances
• Withdraw consent where we rely on it

8. How long we keep your data

• Enquiry / contact form data: up to 24 months after our last contact, unless we go on to work together, in which case we keep it for the duration of our relationship.
• Newsletter sign-ups: until you unsubscribe.
• Client and financial records: where we work together, we keep relevant records for up to 6 years after the end of our relationship to meet legal and tax obligations.

When data is no longer needed, we securely delete it.

9. How we protect your data

We use appropriate technical and organisational measures to keep your data secure, and we only work with providers that offer suitable protections. No system is completely secure, but we take reasonable steps to prevent unauthorised access, loss, or misuse.

10. Cookies

A cookie is a small text file stored on your device when you visit a website. We don’t set cookies ourselves, but the tools we use do. Non-essential cookies are only set after you give consent through our cookie banner. You can change or withdraw your cookie choices at any time using the banner.
